Managing Video Access Control

Introduction

In the AnyClip Platform, privacy definition and sharing restrictions to allow access management in the video library are managed through the video Sources in the Account tab (for example, Zoom). When you define a new source, the Access Level field is where you'll determine who is allowed to view a video.

  • The sharing level can be configured at the source level so that all videos will automatically inherit the default sharing level.

  • If a video has an owner and is set to Private, only the owner can share the video or change the video's sharing level. All other videos can be edited by users who have edit permission.

  • Private videos will not be displayed on external players.

  • Users who have permission to access a video will be able to view the video.

Note

The access control settings will apply to the Manage Videos function. Only the videos that the user is allowed to watch will be displayed to them, and the view will show three tabs: My Videos / All Videos / Shared With Me. See Searching the video library for details.

Setting Access Control Levels

  1. Navigate to Account > Sources and then select +Source to add the new source.

  2. After completing the initial information for the source (for example, see Set up a Zoom source), scroll down to the Access Control section.

There are three access levels available to every video:

Private: The individual who uploaded the video has sole access to the content. That individual can then share the video with others.

Note

The video source will not be imported if the host of the meeting doesn't have an AnyClip user (with the same email address). Therefore, you will need to make sure that the toggle for Automatically create a user field is enabled; see step v. below for details.

Hubs: A Hub on the AnyClip platform is a content entity under the account (the entity can be different departments of a business or different content Hubs for a publisher). Hub-level access means all users that belong to the Hub have access to the content. You can give access to employees that manage various sub-accounts for an external or internal Hub. For example:

  • External: If you manage more than one site — core Hub and an events page — you can give viewing access of the video to either Hub or to both. You'll also need to connect your player to Hub of the video to be able to view it.

  • Internal: If your organization has multiple sub-accounts for different departments—for example, a sales team channel and an onboarding channel — you can give viewing access of the video to either channel or to both. Then only users that belong to these departments will be able to access the Hub-level content.

If set to Hub, only viewers associated with the Hub can watch the video. If you have multiple Hubs in your organization, you'll need to select which Hub, so that only the users of that Hub will be able to view the video.

Syndication: If you want to publish or syndicate your content to websites other than your own, this option makes that possible. You will need to contact your AnyClip account manager for this option.

Note

If set to Syndication, anyone who has an AnyClip account will be able to view the video once it's uploaded. This setting is very permissive, therefore, be careful when using it.

All access levels enable you to share videos with designated individuals inside your organization using the ‘Share’ function (see Sharing videos from a watch and Sharing a video from the 'Videos' Pane for details).

Zoom Privacy

When the AnyClip Zoom Connector is activated, Zoom recordings are uploaded automatically and considered private by default on the AnyClip platform. The host of the meeting manages the access controls for this recording. If an employee does not have an AnyClip account, but is a host of a recorded Zoom meeting, there is an option to automatically create an AnyClip account. This will give this new host permission to manage private videos with the access levels mentioned above (see Set up a Zoom source for details).
